Share is not send a link into a chat
The Share button top right opens a door into the workbook. You can invite a specific email of a teacher. They will see the spreadsheet. You decide if they may edit, or only view.
For homework with grades you usually want view. The teacher sees, you can still change. If you give “edit” by mistake, they can delete a row — or a classmate with the link too.
Never “Anyone with the link can edit” on a workbook with grades and pocket money. The link leaks into a chat. Someone changes a cell “as a joke”. View only is safer.
Persiapanare the workbook before sharing
-
Open
Tables with Martin. Check the workbook name at the top. -
Sheet
Gradeshas headings. SheetCatatansdoes not have to be seen by the teacher — you can leave it, the teacher opens the whole workbook. Sensitive things rather into another workbook. -
Click Share.
Invite the teacher — view only
-
In the “Add people” field type the teacher’s email (school @…). Not the whole class.
-
On the right of the name pick Viewer. Not Editor.
-
Optionally type a message: “Spreadsheet homework.”
-
Kirim. The teacher gets mail with a link.
If the teacher does not have Gmail, the invite still works — they open the workbook after signing into their Google account or school account. Ask which email they use for Drive.
Restricted access vs a link
At the top of the Share window:
- Restricted — only people you add. Right for grades.
- Anyone with the link — who knows the link, walks in. For a class survey sometimes yes, for private grades no.
Check: under the workbook name in Share there must be restricted access. The teacher is in the list with the role Viewer.
What the teacher will see
A viewer sees cells, sheets, charts. They cannot write into cells (Sheets will not let them). They can download a PDF, if you allow it in settings — usually it is enough that they see it online.
You can still edit. A grade change refreshes for the teacher after a moment — they refresh the page if they do not see the new number.
In Excel on OneDrive it is similar Share with “Can view” / “Can edit”.

Do not send anything until the teacher says an email. Just practise the window:
- Open Share. Access is restricted, not “anyone with the link”.
- You know where Viewer vs Editor is chosen.
- In the list there is no random classmate with edit rights.
- When the teacher gets the invite, you can still write into cells.
When the teacher gives an email: send with Viewer. Check with them that they see the workbook.
Check: You can set sharing for a specific email with view-only rights. You know why not “anyone can edit”.
What to take from this lesson
- Share = an invite by email or a link. Email is more precise.
- Viewer sees, does not edit. Editor changes cells.
- Restricted access = only invited people. A link for everyone is a risk.
- Share grades as view. A survey the teacher handles another way.
- You are still the owner of the workbook on your Drive.
