A copy in chat is not a backup. A backup is a downloaded PDF the day before, when you get to that. Today only one truth. Test: everyone on the team says the file name at the top. It must be the same. When one reads Untitled, they are in a shadow. Tutup. Open the link from Drive. The same name at the top for all. Turn Anyone with the link off. Chat with an attachment is not Drive.
An account password is not lent so a friend outside the team can edit. Outside the team belongs a request to share, which an adult handles. Not lending a password.

You say one sentence, show proof, answer “and what if…”. If you do not know, you say I don’t know.
Defence: a teacher must open the same file you practise from.
A list of people and one link
Today you tidy Drive. One file stays and named Editors.

Open a parent’s Drive or school Drive. Find the team file. Write the exact name. Tutup other copies with a similar name. Delete them only with a parent, so you do not delete the original.

In the file Share. Restricted. List of people: only the team, Editor. Not Anyone with the link. Remove guests outside the team. Do not write kids’ emails on a slide. An adult account handles sharing.

Ban File → Download and send by chat as daily work. Work in a browser. In PowerPoint one file on OneDrive, not five USBs.

Everyone on the team opens the same link. At the top the same name. Thumbnails the same. If not, someone is in a copy. Return them to Drive.

Into a comment on the title write: the original is this link. Present (F5) as a dummy run only check that everyone sees the same. Saved on Drive.
Chat is not Drive
When you send work by chat, you make shadows. A teacher likes to open a shadow.

Find in chat links to old versions. Do not send them on from here. Open only Drive.

Remove from Editors someone who is not on the team.

Tell a parent what the file is called and that it is one.
